Early Fall Parent/Teacher Conferences

Sacred Heart Academy is committed to partnering with families in the formation of their children. One important way this happens is through parent-teacher conferences. These have been moved from November to early September in an effort to better facilitate partnership with families and establish early communication between home and school. At these conferences, parents will sign-up to have a conversation with their child’s homeroom or Household teacher. That teacher will share some general thoughts about the grade level of the child, including common expectations and one or two key development areas for that grade level, and will share initial impressions from the first few days of school. Parents are invited to share about their child: this is an opportunity to support the teacher in knowing each child from a wider and fuller perspective, including the weaknesses and strengths of the child. Parents might consider sharing about a hope or dream for their child for the upcoming academic year: perhaps the family is working with the child to grow in courage to speak up in class and with friends, or to grow in friendship with peers, or to better manage his/her emotions, or to renew his/her interest in reading or math or science, or such like items. In other words, parents are invited to form a partnership with the teacher through regular communication, so that the teacher can support the family in the formation of the child.

Here are instructions for signing-up for conferences. Families, please sign-up only for your homeroom or Household teacher. For parents of incoming 9th grade students, since you do not know yet to what Household your child belongs, we are going to leave conference sign-ups open until after the first day of school, when your child will be welcomed into a Household.

Fall Parent/Teacher conferences are scheduled for September 6th and 10th.Please click CONFERENCE SIGN UP to schedule your children’s conferences. Conference spots are limited! If you have more than one child in a homeroom, please sign up for one conference for both of them. When scheduling, you will have the option on the left side in the “Time Picker” column to add additional students to your schedule. When you schedule please make sure:

(1) you have selected the correct homeroom/household in either full-time or CEC;

(2) you have scrolled all the way to the bottom of the page and clicked the “Confirm Selections and Exit” button to save your selections; and

(3) you have entered both first and last names for your child(ren).

Keep in mind the following considerations relating to conferences:

  • If you do not receive a confirmation email, the sign up didn’t work.

  • If you have more than two children who need conferences, IT IS IMPORTANT TO SIGN UP EARLY to ensure that you are able to get your conferences back-to-back.

  • All conferences will be in-person with your child’s homeroom teacher or household dean.

  • Some grades have limited scheduling windows to specific days. Some families may not be able to schedule all conferences on a single day.

  • Families who have recently met with their child’s teachers or are scheduled to do so should not sign up for a conference for that child.

  • Conference sign-up closes on Tuesday, September 3rd for full-time students and Saturday, September 7th for CEC students. If you miss this deadline, you may contact the homeroom teacher you would like to meet with directly to set up appointments with them.

  • Please note that Friday the 6th is a half day. Dismissal is at 12:15pm.

To ensure quiet halls and that our staff get a break before conferences, pick your children up promptly at dismissal time. Students will not be readmitted to the building after dismissal. The Academy does not provide childcare before or during conferences. Please plan accordingly.

Nov. 6 – 21 – Are You Participating in the Penny Wars?

Sacred Heart Academy is hosting a competition called Penny Wars! Each team has a labeled container in front of Ms. Herron’s classroom (room 207) in which to donate pennies. The team who brings in the most pennies and has the highest overall score wins! (Rolled pennies are much appreciated!) However, students may sabotage other teams by donating other coins or even bills to those containers. For example, if one team has 500 pennies, but has been given two quarters (50 cents) by another team, 50 is subtracted, making their score 450. Penny Wars ends on Tuesday, November 21, and the team with the highest score will win a pizza party. All proceeds will go to HELP Pregnancy Center.

Nov. 9 (Thurs.) – Picture Re-take Day

Please go to https://inter-state.com/order and place your order. Our Order Code is 81296ZF. Online ordering is available after Picture Day. Cash and checks are not accepted. Shipping and handling charges may apply to orders placed after Picture Day. Please email  if your child(ren) needs a re-take.

  • Yearbooks will be sold separately. The sale will be online after the new year. They are no longer included in photo packages.
  • Class Composite pictures (i.e. whole class pictures) will be sold in the spring.
  • Please make a copy of your order for future reference (i.e. yearbooks, class composite).

Oct. 20 (Fri.) Yearbook Cover Competition Deadline!

The Yearbook Club will once again be hosting a cover design contest. Any student, K-12th, FT or CEC, can submit a design. The winning design will be this year’s yearbook cover and the artist will win a small gift card. To be considered, please review these guidelines:

  • Be drawn vertically (portrait) on an 8.5 X 11 sheet of white printer paper using colored pencils only.
  • Drawing should represent this year’s Scripture Theme: “When you search for me, you will find me; if you seek me with all of your heart.” Jeremiah 29:13 
  • Have the student’s name and grade on the back.
  • Submissions need to be turned into the school office by Friday, October 20.

Mom’s Group

YOUNG FAMILIES TEAM  –  Team Leader: Elizabeth Darga, edarga1@yahoo.com

New this year, SHA has a mom’s group!  The purpose of this group is to create a fun environment for kids who are at home to play and allow moms to foster friendships with other academy moms.  All moms are welcome! The events are free and informal.

All meeting times are from 9am until 11am. When we meet inside, please enter Cebelak Hall through the courtyard door.  We also ask everyone to bring a toy or game to share in the colder months when we will meet indoors.

Our next get-together is NEXT WEEK Thursday, October 19th in Cebelak Hall. Please bring a toy or game to share.  ***Please note the date change from 10/17 to 10/19***

Call for 2024-25 Financial Assistance Applications! 

The window to apply for financial assistance of any type (Diocesan or SH assistance) will open on October 15th. Families are strongly encouraged to complete their application by December 3, 2023 for maximum consideration. Please note that this is for next school year. All Diocesan scholarships help support Sacred Heart Academy’s overall funding – please apply even if you are unsure you will qualify. Here are the  Blackbaud Parent Instructions. These are also linked on the enrollment page. Please email sklooster@shgr.org if you would like a copy in Spanish. Families that have used Blackbaud already should use their same login credentials. Families who need to create an account should follow the instructions linked above and in this handy  Blackbaud Parent Application Guide. The Diocese will process the first round of applications that are received and verified by December 3, 2023. If you would like maximum consideration for any type of financial aid for next year, please ensure you have a verified application by December 3. To ensure a “verified” application, you should apply as soon as possible so that Blackbaud can follow up with you if necessary to get your application to a “verified” status. Neither the Diocese, nor SHoJ will consider financial assistance for “unverified” applications. Additionally, all those current families who want to be considered for assistance MUST have a “verified” application no later than March 1, 2024. Although the Diocese might award aid for applications after this deadline, Sacred Heart will not consider applications for local aid submitted after the March 1, 2024 deadline apart from exigent circumstances.

Nov. 1 (Wed.) – Immunization Deadline

Immunization records are required by the State of Michigan to be reported to schools for all students entering childcare (Montessori), Kindergarten, 7th Grade, and all students new to SHA. Please submit your childrens’ immunization records to Helen Kennedy at the Academy Office ASAP. The reporting deadline is NOVEMBER 1st. Please note that even if you completed this last year as a new family, you will still need to do this for all children entering the grades specified above. Non-Medical waivers can be obtained from the Health Department. If you would like to obtain a waiver, make an appointment at your local Health Department office soon! Appointments fill up fast!

Middle School Fall Social – Sept 30 (Sat.)

MIDDLE SCHOOL FALL SOCIAL – All Sacred Heart Academy 5th-8th grade students in the full time or CEC program are cordially invited to the Sacred Heart Academy Middle School Fall Social!  Join us for an evening of comradery with other middle school students that will include hayrides, donuts, and line dancing.

  • WHEN: Saturday, September 30th, 6:30pm – 8:30pm

  • WHERE: Post Family Farm (5081 Bauer Rd., Hudsonville, MI 49426)

  • RSVP and COST:  $10 per person for both students and adults. RSVP through your family Boonli account: https://secure.boonli.com/login

  • Your payment in Boonli guarantees your spot for the evening.

  • Please RSVP and pay by September 26th.  All payments received by September 26th at 9pm on Boonli will be honored.  There will be no payment at the door, so please be sure to get your Boonli payment in on time.

  • PARENT/ADULT RESPONSIBILITY: Every middle schooler will need a parent/responsible adult to attend with them, actively participate in the evening and be responsible for the student.  That parent/responsible adult will also have to register/pay via the family Boonli Account.

Counseling Services

We are pleased to announce that Billy Robinson, MA, LPC, will be joining us as our school counselor again this year. He is a parishioner and academy parent. Mr. Robinson will be able to meet with students on Mondays from 9am-11am throughout the 24-25 school year. Because a counselor is such a privileged role, we want parents to know that you are welcome to meet with Mr. Robinson ahead of your child doing so. If you are interested in obtaining these services for your student, please fill out this permission slip. If you would like to set up an appointment as the parents first, please contact Mr. Robinson to do so. Otherwise, with the signed permission slip, Mr. Robinson will start scheduling out meetings with students. Please also read Mr. Robinson’s intro letter and professional disclosure statement.
